Privacy Policy

This policy explains what information GROUNDWORK collects when you use the service, how we use it, and the choices you have. We try to keep this in plain language. If anything is unclear, email us at hello@gwtools.app.

What we collect

Account info: your email, password (stored hashed), and the business-profile fields you fill in (name, phone, business name, business phone, business logo).
App data: the clients, invoices, estimates, line-item services, receipt photos, mileage logs, and account settings you create inside the app.
Public-link views: when someone opens an invoice via the public /pay/[token] link, we record the time of the first view so the invoice owner can see whether the client opened it.
Address autocomplete: when you type into a job-address field, we may send the partial query to Mapbox to suggest matches. Mapbox is an independent provider; their privacy practices apply to that request.

How we use it

To run the service — show you your invoices, save your clients, build PDFs.
To send invoices by text or email through your phone’s SMS or mail app — the deep link opens your phone and you stay the sender.
To send email from our servers when needed: password-reset links, your overdue-invoice digest, and (only if you turn it on) reminder emails to your clients about overdue invoices.
To improve the product. We don’t sell or rent your data.

Who else sees it

Stripe processes card payments on your invoices and handles your payout onboarding if you turn card payments on. Stripe sees the payment details; we never see or store full card numbers.
Polar handles the billing for your GROUNDWORK subscription if you upgrade to Pro.
Resend delivers the email we send from our servers — password resets and invoice reminders.
Google (Gemini) reads the receipt photos you upload so we can pre-fill the vendor, date, and amount (the receipt-scan feature, currently in beta).
Vercel hosts the app, stores the receipt images you upload, and provides our cookieless web analytics.
Our database provider (Neon, hosted by Vercel) stores your data in its US-region servers.
Mapbox sees the address strings you type when autocomplete is active.
Clients you invoice see whatever you put on the invoice — your business name, phone, logo, and the bill-to / job details for that specific invoice.
Law enforcement only if we’re required by law and have a valid request.

Your choices

You can edit your business profile at any time under More → Account.
You can delete an invoice or client from inside the app. We may keep backups for up to 30 days before they roll off.
You can download a full copy of your data anytime from More → My Data & Account.
To delete your whole account, open More → My Data & Account and choose “Delete my account.” It removes your records right away; any residual backups roll off within 30 days. Prefer we handle it? Email us at hello@gwtools.app.

Cookies and tracking

GROUNDWORK uses cookies for authentication (keeping you signed in). We use Vercel Web Analytics to count page views; it is cookieless and doesn’t identify you or follow you across sites. We don’t use third-party advertising or cross-site tracking cookies.

Children

GROUNDWORK is meant for adults running a business. We don’t knowingly collect information from anyone under 18.

Changes

We may update this policy. When we do, we’ll change the “last updated” date at the top and, for substantive changes, post a notice in the app.
